Branding

Email sender name on every plan. Logo and brand color on Starter and above.

Customize how your onboarding forms, client emails, and client portal look to clients. Go to Settings > Branding to configure these options. Owners and Admins can change them.

Your firm name

Clients see one name for your firm everywhere. Portico uses your Email sender name when you set one, and your Team name otherwise. Clients see this name on:

  • Onboarding emails, reminder texts, and messages from your team.

  • Onboarding forms, the client portal, and the self-registration page.

  • PDF copies of forms and signature certificates.

  • Monthly and yearly Stripe payments, which Stripe names "Payments for" plus your firm name.

  • The {{team_name}} merge tag in the messages you send to clients.

Emails to your own team come from Portico instead. These include team invites, client activity and overdue notices, countersignature requests, automation notices to team members, and messages your clients send you.

The firm-name check before sending

Portico creates your team name at signup, for example "Jane Smith's team". Until you change it or set a sender name, Portico stops an in-app send, reopen, or change request. Nothing reaches the client.

  1. Click Send, Reopen onboarding, or Request changes as usual. Portico shows a message that names the action, such as "Add your firm name before you send.", with one field.

  2. Check the name in Your firm name as clients see it. It starts with the name you signed up with.

  3. Click Save and send, Save and reopen, or Save and request changes. Portico saves the name as your team name and finishes the action.

Any team name that ends in "'s team" counts as the signup name. Send to myself for a test skips the check, and so do sends through the API, Zapier, or an automation. Those emails show the owner's name, such as "Jane Smith", until you set a firm name. Change the name later in Settings > Account under Team name.

Click Upload logo and choose a JPEG, PNG, SVG, or WebP file of up to 5 MB. The logo saves as soon as the upload finishes. Use Change logo to replace it. To delete it, click Remove logo, then click Remove logo in the Remove team logo? dialog. Your logo appears on:

  • Onboarding forms (header)

  • Client emails (header)

  • Client portal (header)

  • The self-registration page

  • PDF copies of forms and signature certificates

Clients see the logo only while your plan includes custom branding. On Free, the forms and emails show your firm name with no logo.

Brand color

Pick a color or type a hex code in Brand color. Portico uses it on client-facing forms, buttons, the progress bar, and email templates.

A color saved on an earlier plan stays on client pages and emails after you move to Free. On Free, the Branding tab shows that color under Brand color. Click Use default color, then confirm, to switch back to Portico's default. To choose a brand color again, upgrade to Starter or above.

Email sender name

Email sender name is your firm name as clients see it. If you leave it empty, clients see your team name. Client emails come from a Portico address, with your firm name as the display name. Every plan can set it, Free included. On Free, the Branding tab shows the plan note and the Email sender name field. It also shows a brand color kept from an earlier plan.

Click Save to keep your brand color and sender name changes.

If Portico cannot confirm a save, the tab shows "Save not yet confirmed" and the Save button reads Try again. Click Try again to send the same change again. Until Portico confirms it, you cannot upload, change, or remove the logo. Try again sends only the earlier change, so click Save again for any edits you made after it.

What clients see

On the Free plan, client-facing pages show "Powered by Portico". Client emails add "via Portico" to your firm name and carry a "Sent through Portico" footer.

Every paid plan and the Pro trial remove these automatically, so there is nothing to switch on. Links in emails and on pages use Portico web addresses unless you set up a custom domain.

Custom domain

Business, Lifetime Firm, and AppSumo Firm plans.

Clients can open onboarding forms and the client portal on a subdomain your firm owns, such as onboard.yourfirm.com. The Custom domain section sits on the Branding tab.

  1. Enter the subdomain in Domain and click Save domain.

  2. With your domain provider, add the two records shown under DNS setup. Click Copy next to a value to copy it.

    • A CNAME record named after your subdomain, with the value cname.portico.run.

    • A TXT record named _portico-verification. followed by your subdomain, with the value shown.

  3. Wait for the check, or click Check now. Portico checks every 10 minutes. DNS changes can take up to 2 days to reach every network.

The badge next to your subdomain shows where setup stands:

Status

What it means

Waiting for DNS records

Portico has not found both records yet.

Setting up HTTPS

Portico found the records and is setting up a certificate. This usually takes a few minutes.

Domain verified

New client links use your domain. The section reads "Clients now get links on" and your address.

Needs attention

A message says what to change. Fix it, then click Check now.

Sometimes Portico's hosting provider asks for one more TXT record. The section shows it under the other two; add it the same way.

What changes once the domain is verified:

  • New invites, reminders, messages, and portal links use your domain. Links you sent earlier keep working on app.portico.run.

  • Your domain serves client forms and the client portal only. Sign-in, the dashboard, and the self-registration page stay on app.portico.run.

  • Client emails still come from a Portico address, with your firm name as the display name.

Only subdomains work. A root domain such as yourfirm.com is refused, and so are portico.run addresses.

To use a different subdomain, enter it and click Save domain. To stop using one, click Remove domain. Either way, links you sent on the old domain stop working, so Portico asks you to confirm first. Send those requests again afterward. If Portico cannot confirm a domain change, use Check result, Try again, or Stop this change, as described in Automations.

If your plan no longer includes custom domains, new links use app.portico.run. Links you already sent on your domain keep working while its DNS records point to Portico.

Custom CSS

Business plan only.

Custom CSS is set per template in the Template builder, not in Branding.

  1. Open the template in the template builder.

  2. Click Custom CSS in the builder toolbar. The editor opens in the settings panel, whatever step is selected.

  3. Enter your styles in the Custom CSS box. To clear it, click Reset, then confirm in the "Reset custom CSS to empty?" dialog.

On a plan without custom CSS, Custom CSS opens a note that your plan does not include it.

Portico scopes every selector to .portico-client-form and strips unsafe patterns such as @import and url(). It also drops properties outside its allowed list of styling properties.

Custom CSS styles only the onboarding form built from that template. It does not change the client portal or emails. The template preview does not show custom CSS. Onboardings keep the template version they were created with, so new CSS applies to onboardings you create afterward.

Frequently asked questions

Can I use my own domain for client-facing pages?

Yes, on Business, Lifetime Firm, and AppSumo Firm plans. Add a subdomain such as onboard.yourfirm.com and two DNS records, and new client links use it for onboarding forms and the client portal. Root domains are not supported.

Can I inject custom CSS?

Yes, on the Business plan. You add custom CSS to each template in the template builder, and it styles that template's onboarding form only.

What branding options are available on the free plan?

The Email sender name, so clients see your firm name. Logo and brand color need Starter or above. On Free, client pages show Powered by Portico and client emails carry a Portico footer. A brand color saved during the Pro trial or on a paid plan stays on client pages and emails after the plan ends. On Free you can switch it back to the default color.

Which name do my clients see?

Your Email sender name from Branding. If it is empty, clients see your team name from Settings > Account.
