Template gallery

The template gallery holds more than 150 starter templates. Most are built for a specific industry, with steps, fields, and help text already in place.

Go to Templates and switch from My templates to Template gallery.

The gallery opens on a featured set of templates. Below it, a Browse all button shows the total count. Click it to see every template, including region-specific and specialized ones for niche industries.

Use the tabs to filter by industry. All industries shows everything. The other tabs come from the templates themselves and include Accounting, Agency, Bookkeeping, Coaching, Consulting, Events, Financial, Insurance, Legal, and Real estate.

To search, type in Search templates.... Search matches template names, descriptions, industries, and step titles. It covers the whole gallery, not only the featured set.

Each card shows:

  • The template name and industry.

  • A short description.

  • The number of steps and fields.

  • The step titles.

  • Icons for notable field types, such as signatures or payments.

Example templates include "Agency client onboarding", "Bookkeeping client setup", "Accounting client onboarding (UK)", and "Financial KYC verification".

  1. Browse or search for a template that fits your use case.

  2. Click the card to open its preview. The preview works like the client form: answer questions, move between steps, and test the template's rules. Nothing you enter is saved.

  3. Click Use this template. Portico creates your copy and opens it in the template builder. To keep looking, click Back to the gallery.

  4. Customize anything. Rename fields, add or remove steps, add conditional logic, and change settings.

  5. Use Preview in the builder to see the form as your client will.

Your copy is named after the original with "(copy)" at the end. It appears under Your templates in My templates. Changes to your copy do not affect the original gallery template.

Only owners and admins can use gallery templates. Members can open any preview. In place of Use this template, they see "Ask an admin or owner to add this template to your workspace."

Gallery templates work well when:

  • You are getting started and want a starting structure for your industry.

  • You need to onboard a new type of client and want a baseline.

  • You want an example of how a form for your industry can be organized before you build your own.

Gallery templates include required fields, and most include help text. They do not include conditional logic. Some signature fields come with sample agreement text. You cannot create an onboarding from a gallery template that still has it, in the app, the API, Zapier, or automations. Copy the template with Use this template and replace the text first. Review the fields after you copy a template, replace any sample agreement text, and add any rules your workflow needs. See Template builder.

Managing your templates

My templates lists the templates you created or copied. Sort them by Name, Date, Steps, or Fields.

Each card shows how many onboardings use the template. Click the count, such as Used by 3 onboardings, to see those onboardings. A template that no onboarding uses shows "Not used yet". Owners and admins can click Send onboarding on a card to start an onboarding with that template already chosen.

Open a template's menu (⋮) to use these actions:

  • Duplicate: makes a copy of one of your own templates.

  • Delete: removes a template after you confirm.

You cannot delete a template that was used for an onboarding. Onboardings keep the template they were sent with.

If your client self-registration link uses a template, Portico warns you before you delete it. The link stops working until you choose another template in Settings > Client experience.

Building from scratch

If no gallery template fits, go to Templates and click New template. You can start in two ways.

Paste your questionnaire is the default tab. Paste text from a Google Doc, email, or any document, choose an industry if you like, and click Generate template. Then:

  1. Review the generated steps and fields.

  2. Enter an amount for any payment field. Portico never guesses a price.

  3. Enter a Template name.

  4. Click Create template, or click Regenerate to try again.

Each generation counts toward your plan's monthly AI allowance, even when it fails. Lifetime and AppSumo plans include no monthly allowance and use AI credit packs instead.

Start blank asks for a Template name, Description (optional), and Industry (optional). Click Create blank template to open a template with one step titled "Getting started".

Inside the builder, AI Generate adds generated steps to an existing template. The button appears when your plan includes AI generation or your team has AI credits.

See the Template builder guide for details on all 18 field types and conditional logic.
