Dashboard

Open Dashboard from the sidebar for an overview of your onboarding pipeline. It shows where your attention is needed. Archived onboardings are not included. Owners and Admins also see New onboarding at the top of the dashboard.

Get started

Until your team sends its first onboarding to a real client, Owners and Admins see a Get started card with three steps:

  1. Choose a template. Browse templates opens Templates.

  2. Add a client. Add a client opens Clients.

  3. Send your first onboarding. Start an onboarding opens a new onboarding.

A finished step shows a check mark. A client whose email belongs to someone on your team does not count. After you send yourself a test, the card asks you to send to a real client next. The card disappears after your first send to a real client.

Stats

Three summary cards appear at the top. Each card opens the onboardings list showing exactly the onboardings it counts.

  • Active onboardings: onboardings you sent that the client has not submitted yet. The card opens the list with the Active status filter.

  • Completed this month: onboardings that clients completed since the 1st of this month, in your team's timezone.

  • Awaiting your action: onboardings that wait on you. These are the statuses Draft, Needs review, Reviewed, and Link expired.

When a card opens the list, a bar above the list names the filter, for example "Showing 4 onboardings: Awaiting your action". Click the close button on that bar to see every onboarding again.

Progress overview

The Progress overview card shows a bar split by status, with a legend. It uses the same statuses as the onboardings list, which How it works describes. Only statuses with at least one onboarding appear.

Click a segment or a legend item to open the onboardings list filtered to that status. A large Sent share means clients are not opening their links.

Clients to follow up

The Clients to follow up list shows up to 10 onboardings where the client is late or has gone quiet. Click View all to open the onboardings list filtered to all of them. Each item shows the client's name, the template, the progress, and the status, plus one of three flags:

Flag

Meaning

Trigger

Overdue

The onboarding is past its due date.

The due date has passed and the client has not submitted.

At risk

The onboarding is due soon with low progress.

Due within 3 calendar days with progress below 80%.

Stale

The client has stopped responding.

No client activity for 5 or more days, counted from creation if the client has never been active.

Only onboardings you sent that the client has not submitted get flags. Each onboarding shows one flag: overdue comes before at risk, and at risk comes before stale.

Click any item to open that onboarding's page. When nothing is flagged, the list reads "No clients are overdue, at risk or inactive."

Recent activity

The Recent activity card sits beside Clients to follow up on wide screens and below it on narrow screens. It shows up to 15 of your team's latest logged events. Each event has its own label and names who acted: the client, a team member, Portico, an API integration, or a registration link. For example:

  • "Team member sent the onboarding"

  • "Client submitted answers"

  • "Reminder emailed to the client"

  • "Payment received"

  • "Team member asked Portico to send a reminder"

Team-level events, such as client imports and erasure requests, also appear here. Each entry shows how long ago it happened. An entry links to its onboarding when it belongs to one.

The dashboard is not live. It loads data when you open it, and the data can be up to 5 minutes old. Reload the page to see the latest events.

Plan banners

The dashboard shows at most one plan banner. The count behind these banners is onboardings you have sent to a real client. Drafts, change requests, and tests do not add to it.

A test is an onboarding sent to the sign-in email of anyone on your team. Portico ignores capital letters and a "+" tag, so name+test@firm.com counts as a test for name@firm.com.

See Billing and plans.

In order of priority:

  • When you reach your monthly onboarding limit, with Upgrade plan.

  • When you have used 80% or more of your monthly onboardings, with View plans.

  • When your Pro trial ends in 3 days or less, with Upgrade plan.

  • On the Free plan, Owners and Admins see what the Free plan leaves out, with Upgrade plan. After a trial, the message also says that your Pro trial has ended.

Members see the first three banners without a button. Each message ends with "Ask an owner or admin to upgrade."

Board view

On the Onboardings page, switch between Table view and Board view. Board view shows onboardings as cards in six columns:

Each card shows its own status, because one column can hold more than one. The board shows the current page of results. Cancelled onboardings do not appear on it.

The board is for viewing only, so moving a card changes nothing. To send, cancel, or reopen an onboarding, open its page.

Frequently asked questions

What are attention flags?

Flags mark sent onboardings the client has not submitted yet. Overdue means past the due date. At risk means due within 3 days with less than 80% progress. Stale means no client activity for 5 or more days. Flagged onboardings appear under Clients to follow up.

Can I filter the dashboard by team member?

No. The dashboard covers your whole team. To see one person's work, open Onboardings and use the My onboardings or Unassigned tab. These tabs appear when your team has more than one member.

Does the activity feed update in real time?

No. The dashboard loads its data when you open it, and the data can be up to 5 minutes old. Reload the page to see the latest events.
